DealerOffice is designed for dealership teams to manage inventory, customers (CRM), marketing content, and connected third-party services (for example Google Analytics, YouTube, Facebook, Instagram, and X).

3. Information we collect

Account and authentication data

We collect information needed to create and secure accounts, such as name, email address, role/permissions, and authentication/session data.

Company and dealership data

The Service stores company configuration and dealership information entered by your organization (for example company name, address, phone, and email).

Inventory and operational data

You may store vehicle listings, images, descriptions, pricing, and operational metadata. You may also store workshop/appointments data and related records depending on enabled modules.

Customer/CRM data

You may store customer contact and interaction data (for example customer names, phone numbers, email addresses, notes, and communications) as part of your CRM usage.

Uploaded content

The Service may process files you upload or reference (for example vehicle images or videos) in order to provide features such as inventory media management or video publishing.

AI-generated content inputs/outputs

If you use AI features (for example generating vehicle descriptions, social posts, scripts, or assistant responses), we process the prompts and related context you provide in order to produce AI-generated outputs.

Connected account and token data

If you connect third-party accounts (for example Google/YouTube, Facebook/Instagram, or X), we store OAuth tokens and account identifiers required to make authorized API calls on your behalf.

Usage and technical data

We may collect technical information such as IP address, device/browser information, and logs needed to maintain security, troubleshoot issues, and operate the Service.

4. How we use information

  • Provide, operate, and secure the Service (including authentication and access controls).
  • Store and display inventory, CRM, and dealership operational data entered by your organization.
  • Generate AI-assisted content and responses when you choose to use AI features.
  • Connect to and interact with third-party APIs you authorize (for example publishing posts or fetching analytics).
  • Send service emails (for example account invitations, activation, password reset, and notifications).
  • Monitor, debug, and improve performance, reliability, and security.

5. Sharing and third-party services

DealerOffice integrates with third-party services when you choose to connect them. Depending on enabled features, this may include:

  • Google services (for example Google Analytics and YouTube).
  • Meta services (for example Facebook and Instagram Graph APIs).
  • X (Twitter) APIs.
  • AI model providers (for example Google Gemini) for AI-powered features.

When you authorize a connection, the Service may send requests to these providers and receive data back (for example analytics properties, post status, or published content identifiers). These providers process data under their own privacy policies.

6. Cookies and session data

We use cookies or similar technologies to maintain authenticated sessions and keep you signed in. Sessions are time-limited for security.

7. Data retention

We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Retention may also depend on your organizations settings and how long your account remains active.
